ScienceDex

Set up ScienceDex for your department or society

The ScienceDex team sets up each department and society account. Send us a request, and we will reply by email.

Departments

How a department gets set up

  1. We set up your department and invite its first admin, such as the chair, a vice chair for faculty affairs or the department administrator.
  2. Your admins invite your faculty by email: one person at a time, or up to 500 at once from a pasted list or a CSV file. Or they upload faculty’s Word CVs. Each person reviews theirs, then accepts or discards it. Admins also add divisions and their division chiefs.
  3. Faculty can sign in with your school’s login. Your school’s IT team and the ScienceDex team connect it, and your admins set a rule for who joins the department that way.
  4. Then your admins open the department dashboard. From there they run reports and download them as Excel or CSV files, see which papers, grants and awards faculty added to their CVs, and search public NIH data for researchers by topic, institution or funding. Your own systems can read the roster, CVs and reports through an API.

Each faculty member’s CV is their own. The department never sees home addresses, personal phone numbers or entries marked private, and faculty can see each time someone opens their CV.

What we will ask for during setup

  • Your department’s name and school.
  • The name, work email and role of your first admin.
  • For school sign-in, a contact on your school’s IT team and the email domains your faculty use.

Societies

How a society gets set up

  1. We build your society’s page from public data. We load your program leaders’ papers and citations from PubMed and iCite. Each figure names its source and the date of the data.
  2. Your admins get seats by invitation. The page is private to your admins and ScienceDex staff.
  3. Your admins read the page. They see papers by year, who publishes with whom, where each leader sits in the author list, and a society report with one row per paper. Everything on it comes from public records.

What we will ask for during setup

  • Your society’s name, and where your list of programs and their leaders is published.
  • The name and work email of each person who should have a seat.
  • Your logo as a PNG or WebP file, if you want it on the page.
